Stripped GTD: 3 Habits That Make You More Productive

David Allen’s Getting Things Done has been a huge help to me as I’ve created processes and systems for many of the things I do, be it writing, other work, or just budgeting my time so I can spend more of it doing the things I love.

The problem with GTD, the snag I’ve hit time and time again trying to implement its practices, is that it’s just so darn complicated. I need 43 folders, multiple inboxes, a bunch of project lists, next action lists, and a whole lot more. That might work for some people, but for me it just became over-complicated.

In actual implementation, I’ve either adapted or ignored most of the GTD tools and practices. The habits GTD teaches, however, are a different story – they’ve taught me a great deal, and helped me become far more productive. Three habits in particular – Mind Like Water, Defer, and Review – have worked magic on me as an entrepreneur, employee, and person.

Whether you want to call it GTD or something else, these are three habits that will immediately and irreversibly make you more productive.

Mind Like Water

Write everything down. That’s the first step of GTD, and the first step of any good productivity system. Studies have shown that the human brain can only handle seven things at a time, but most of us need to deal with far more than that. Get them out of your brain, and into a system you trust. I use Evernote for this purpose, but you can use anything – a computer, a notebook, receipts, a chisel – as long as it’s easy to use, simple to add to, and accessible to you later.

Don’t trust your brain, or your memory – they’ll both fail you. Write everything that’s taking up space in your brain down. You’ll remember it better later, and free your brain to think about new things.

Defer

“Defer” is one of the actions GTD says to consider for any given thing that crosses your path. Don’t do it now, but don’t forget about it – just put it off for a little while. In my own life, I’ve found deferring to be hugely useful, because for the most part I never end up doing those things anyway. A lot more comes into our workflow than needs to, and seeing if the world ends because I don’t do something immediately is a good reality check for me.

My standard practice now is this: unless I’m absolutely sure I need to do it, I defer it. I come back to it later, and often find that it never needed my attention in the first place – all of a sudden that’s one thing off my plate. I’ve found that a lot of my time was spent on things that were somewhat useful, but mostly just served to make me feel better about doing them. Now I just put those things off, and get to the things I need to and want to do. If I’ve got time, I get to the other stuff – usually just to discover I didn’t need to do it in the first place.

Review

This is the big one – the one practice I think everyone who’s trying to be more productive and more aware of what they’re doing should adopt. Review everything, on a scheduled interval. I do it once a week; others do it daily.

Reviewing means go through your calendar, and figure out what’s coming that you need to deal with. Go through all your Inboxes (email, physical, voicemail, etc.) and clear them out. Go through your task list – what do you have time for in the near future?

Also, take a look back at the time since your last review. What drained your time? What added the most value? What’d you miss or do poorly that could have been avoided? This kind of review helps you fix your system, as well as prepare you better for what’s coming and keep you from total overwhelm in any realm of your work – after all, that overwhelmed feeling is a one-way ticket out of productivity.

By writing everything down, not doing most of it, and always keeping tabs on what’s happened and what’s coming, I’m constantly in a position where I feel like I know what’s going on. I know what I have to do, I know when I’ve got time to do it, and I’m pretty sure I’m not missing anything important. Without all the fancy tools and procedures, I’m already feeling ready to take on the world.

Why A Good Web Site Matters To Your Business

For most businesses, a web site is one of the most important investments you can make. Entrepreneurs are either overspending or underspending on their web sites, and many have no idea what they’re doing or why. So today I’m going to talk about why a good, solid web site really matters to your business, and in the next two weeks, I’ll follow up with articles on the core components your web site needs to work well for you, and how to hire a solid web firm to build your site affordably.

1. Your web site reflects you as a business owner and professional.

If your web site looks professional, your potential clients will think you’re a professional who has enough clients and enough income to have a site built for you. If potential clients visit your web site and it looks half-assed and home-built that’s how they’ll perceive you.

If you’re a web developer, by all means, build your own site, as that will reflect your capabilities. Everyone else, hire a solid company that can do a good job, not just in building your web site, but in getting it seen and in building it wisely to maximize the traffic you’ll get.

2. Your web site can mean extra local business.

Even if you’re primarily brick and mortar, having a solid web site can mean extra business. Local clientele often perform seaches online and find your web site, encouraging them to walk into your store. If they find your competitors and they look more reputable or solid than you (or if they have a web site and you don’t), you’ll lose business, just because of your web site. And, when you’re mentioned in the media or on review sites like Angie’s List, you’ll need a web site to help people find you.

3. Your web site can mean global business.

Did you ever think about getting orders from Australia or Malaysia? Launching a fantastic web site means you’ll instantly become a global business, allowing you to expand your clientele to a much larger audience. Your web site is visible in almost every country around the globe, and that means you expand your potential client base by millions. You’ll still want to keep your target market in mind, but an international audience may still find you appealing.

4. Your web site can generate media interest.

If a journalist is looking for an expert in your field to quote for an article, s/he is more likely to choose the business owner whose web site looks professional and clean than someone who looks like they don’t really know what they’re doing. And as most of you know, a mention in the media can be powerful for your business!

Don’t do your business a disservice by putting up a shoddy web site. Take care and invest wisely in your business web site by hiring someone who knows what they’re doing. Next week I’ll talk about what components you need in your web, and in two weeks, I’ll cover how to hire a web company.

GTD Refresh, Part 4: Getting Sorted

Last week, I talked about finally getting my projects in order. Of course, that’s not a one-time thing, but I’m not quite ready to talk about the process of bringing new projects into my lists just yet, whether “on-the-fly” or as part of my weekly review.

But getting a grip on my projects, both big (there’s a book proposal I want to write) and small (I need to find a decent dentist) is a two-step process. The first is what I described last week: identifying all my active projects and getting some next actions assigned to each of them. The other part of the process is setting myself up to actually do them.

In some cases, of course, I can just figure out what needs doing and go ahead and do it. But for the bigger projects, I need materials, and that means files.

Maintaining files is a weak area for me, not because I, like any other full-blooded productivity geek, don’t have a healthy lustful appreciation of file folders and my standard-issue GTD label-maker, but because it’s the least interesting and fussiest part of doing anything. But I’m 1800 miles from home – if I am going to get anything done in this 5-week sojourn, I don’t have any room to forget anything crucial, or for being disorganized.

I can’t think of anything less interesting than talking about putting paper in folders (except maybe actually putting paper in folders) and I’ve posted about filing before, so I won’t get into the mechanics of it all here, except to say that every project gets a folder (or sometimes a hard-bound notebook, if it will be unfolding over a long period of time) and every folder is neatly labeled. While a project is active, I’m careful to keep every scrap of paper related to it – I would rather have a little extra cleaning to do at a project’s close than find myself without something I didn’t know would be important down the line.

What I do want to talk about here is that perennial chestnut of personal productivity literature: paper vs. technology.

Now, I’m a big old geek, no getting around that. I’m the kind of guy whose as likely to have his nose stuck in his Blackberry as not, who fantasizes about new home network configurations (I’ve got two old PCs under my kitchen table waiting to be repurposed…), and who travels with not one but two laptops. I love well-designed software that does a job beautifully, and love the searchability and security of keeping important information in electronic form, preferable backed up in multiple places.

That said, I am as far from paperless as possible. My productivity system, indeed my office as a whole, is “paper-full”. For all the arguments against it – and believe me, the environmental impact alone pains me, though I try to use recycled paper whenever I can get it – I find paper is important. No paper, no productivity.

For one thing, I’m a writer. And while I am pretty comfortable letting words flow from my fingers through the keyboard to the screen, I can’t edit that way. I’m just not comfortable enough with the screen to read for any length of time at it, and especially not to do the kind of finicky re-thinking involved with a revision for publication.

But that’s just for writing. My preference for paper goes way beyond just editing and revising. And here is where, I hope, it gets interesting for GTD’ers everywhere.

There’s something very physical about GTD, or perhaps about working in general. Something about writing things down with pen or pencil on actual paper, about holding things in your hands, that acts as a trigger for action. Email, Evernote notes, tasks on online Todo lists – I find it all too easy to scroll through them, to glance at them and think “yes, that’s something that has to be done” and not actually do it.

But paper, something I hold in my hands, something I  physically manipulate… It’s as if physically interacting with my work in a material way triggers that animal part of me that feels the sun moving across the sky and knows that work must be done, and if not now, it will be too late.

So while I use all manner of virtual technological tools to get things done, in the end most things funnel to a paper file – a nice, heavy file folder stuffed with papers. I buy decorative file folders for two reasons: a) they tend to be made of sturdier stock than plain folders, thus holding up to use better, and b) they are easily differentiated one from the other, making my work just that little bit easier to get to.

When I’m ready to go to work, the folder comes out, the contents get scanned, and somehow, almost as if by magic, I get down to working. And things get done.

10 More from the Webware 100

Last week, I looked at the apps chosen by CNet for the productivity section of the Webware 100. There were, however, 10 other sections – 9 categories of apps voted for as top in their class and an extra categories of apps chosen by the editors at CNet. This week, I want to look at a selection of applications from the rest of the Webware 100, with an eye towards their use to increase or improve personal productivity.

Some of the categories aren’t very productivity-oriented, like the music and audio section – I love Pandora and Amazon MP3, but I can’t say they help with my productivity in anything but the most indirect way (by giving me music to listen to while I’m working). The browsing category is particularly useless – picking the 10 best apps for web browsing is a bit like picking your ten best fingers. But scattered throughout the list there were some interesting apps, worth taking a look at.

1. Digsby/Pidgin

Both Digsby and Pidgin are multi-protocol IM clients, meaning you can use them to connect simultaneously to a variety of instant-messaging networks: AOL, Yahoo, MSN, Google Chat, and others. I use DIgsby, which is highly customizable with various skins, which allows me to chat in a very clean, clear, and large-fonted format that’s easy on my aging eyes. Digsby offers integration with Facebook’s chat system, which is nice – the built-in client on Facebook tends to crash on me a lot. It can also pick up your Twitter account, but I find that much too annoying and difficult to work with in Digsby, and leave Twitter duties to dedicated clients. (Interesting that there were no Twitter clients in the Webware 100…)

2. Skype

I certainly don’t need to sing the praises of Skype – the VoIP service is already beloved by many. I pay about $40 a year for a SkypeIn number, unlimited US SkypeOut calling, and voicemail, and use it as my business phone. A cheap handset attached to my desktop makes it very phone-like to respond to calls; for interviews for articles I’m working on I use a $30 Logitech headset and either CallGraph or Skype Call Recorder to record the calls to MP3 (always ask permission when using call recording software!). I also use PamFax to send faxes for a small fee (which can be taken from my Skype credit).

3. Gmail

Like Skype, the glories of Gmail are widely known. What makes Gmail more than just another email service are the various “extras” Google has added to the service, both directly and as options available through labs. Some of my favorites:

  • Canned responses for saving snippets of text (up to whole emails) to reuse in future messages;
  • Tasks which also integrates with Google’s Calendar, allowing you to place dated tasks directly onto your calendar;
  • IMAP access which means I can check my email from wherever, online or through a client, and not worry about things I’ve read showing up as “unread” when I download my email on a different computer;
  • Google Docs and Google Calendar integration allows me to view my calendar and recent Google Docs from Gmail;
  • Google Chat pop-ups directly in the Gmail interface.

4. Dropbox

Dropbox is a file syncing service that has one feature that sets it apart from similar services: shared folders. You can set up a folder on your desktop that is “mirrored” on another desktop – say, a client’s or collaborator’s. Then, whenever you want to share a file to them, you just drag it into the folder, and it’s uploaded to their computer (or held until the next time they’re online). So far, I’ve only used this for work, but I think I’m going to set up two folders on my parent’s computers. The first one will be on their desktops, and I’ll use it to send them family photos and other files (since the whole concept of “email attachment” seems so confusing to them). The second will be deep inside the folder structure, which I’ll use for backing up my own files – since all they do is web browse and read email, they never come even close to using up the 160 or 320 GB of space on their hard drives, making it a perfect site for my off-site backup.

5. Drop.io

Drop.io offers an easy way to share large files – with no sign-in or registration necessary. Of course, you can create private, password-protected repositories, but you can also just upload a file and send people the drop.io/whatever URL. You can upload up to 100MB for free, and photos, videos, and audio get converted so they can be viewed or listened to online.

6. Aviary/Picnik

Aviary and Picnik are, believe it or not, high-quality online graphics editor. Aviary is the more complex of the two, offering full-featured vector and raster creation and editing, spread over 4 sub-apps. Picnik is more of a touch-up app, allowing you to sharpen, adjust colors, resize, and do other photo editing tasks. Online image editing is a bit of a solution in search of a problem – local apps like Photoshop, Photoshop Elements, or even IrfanView are more powerful and work faster, but folks with netbooks, especially those with small flash-based drives, will appreciate the ability to work on an image now and again without having to install software or wait for their slower processors to apply unsharp mask..

7. Evernote

Evernote keeps getting better and better. The basic idea is you can make notes in various ways – type directly, clip form the web or other documents, take a picture, record a voice note – and the program keeps it organized. Evernote also syncs to an online repository (subject to transfer limits) and to any other computer you install the client on. Apps for mobiles like iPhones and, just released, Blackberry allow you to create and send notes in a variety of formats from your smartphone (unfortunately, neither iPhones nor Blackberries have good enough cameras for up-close shots of text like business cards – try putting a magnifying glass or card over the lens for close-up shots). My favorite recently-discovered feature is the ability to store and index PDF files, of which I have hundreds (academic articles downloaded for various research projects). Since I have a free account, I don’t sync these online – they’d quickly use up my monthly transfer allotment.

8. Google Voice

Only available to former Grand Central users, Google Voice offers powerful call forwarding and voicemail services. Basically, you get a single number that you can have forwarded to any or all of your phones – and you can set up rules to decide what gets transferred where. Voicemails can be forwarded as audio files to your email, or you can read – yeah, “read”, since they do so-so voice transcription on your messages – them online in a very Gmail-like interface. Got a troublesome caller, maybe from an autodialer system? Mark it as spam and block it, just like email! You can also make low-cost international calls, but a) I don’t have any to make, and b) the process is a bit complex, so I’ve never tried this.

9. Windows Live Sync

You’d be forgiven for mistaking Windows Live Sync with Windows Live Mesh – both synchronize files placed into a designated folder over the Internet, and both are free. Oh, and then there’s Windows Skydrive, which doesn’t sync but, like Mesh, offers online file storage. Apparently, all these services will one day be a single service, probably called Windows Live Skymesh Sync (or, more typically Microsoft, Windows Live File Storage and Online File Synchronization for Windows, Premium Professional Version 2010). Whatever it’s called, the technologies involved are pretty slick – I use Mesh to backup my netbook, storing all my documents in a folder that’s synched to my “regular” computer’s desktop (and from there saved to an external hard drive and, through Mesh, to the Web).

10. Twitter Search

THe only Twitter-related choice in the list, this once gave me heartburn at first – I mean, really? But after a little thought, it seems a more fruitful choice. Twitter Search is what transforms the screaming multitudes on Twitter into a resource – a cross between a social network, news feed, and trend tracker. It’s real-time, which means you get what’s going on right now, and several Twitter clients incorporate it into their interfaces. I keep a couple of Twitter searches in columns in Tweetdeck – one that catches sites, tips, and jobs for writers, another that lets me know when people are talking about Lifehack, and a couple of “topic of the moment” searches for whatever I’m interested in on any given day.

Well, that’s my take on the Webware 100. A lot of the apps chosen were, to be perfectly honest, a bit… well, boring. Maybe that’s what happens when web applications stop looking like the future and start being the present?
